AI Receptionist for Dental Clinics

An assistant that picks up when your front desk cannot, and works only by your practice’s rules: which dentist, which cases, how long. Anything not written down goes to a person.

When a clinic loses a patient

Not when nobody wants to pick up, but when nobody can. Three moments every practice knows.

After hours

More than half the calls after 18:00 go unanswered. A patient in pain does not wait until morning, they call the next clinic.

A patient in the chair

The receptionist is with a patient, the assistant is holding the suction. The phone rings four times and stops.

The receptionist is away

Sick leave, holiday, lunch break. Whoever covers has another job to do, and calls get lost in the middle of the day.

Three calls you get every day

Not invented examples, but the cases your front desk settles ten times a day. Here is how the assistant settles them, by your rules.

19:20

after hours

A patient who wants a crown, where your rule says "consultation first"

„Hello, I broke a tooth and I want a crown fitted. When can you do it?“

The assistant does not book a crown directly, because your rule is: prosthetics only after a consultation. It offers a consultation with Dr Georgiev, who takes prosthetics on Tuesdays and Thursdays, books it and confirms by text.

What the clinic finds

A consultation with the right dentist, on his day, with the note "broken tooth, asking about a crown". Not a treatment slot that would have had to be moved.

11:05

a patient in the chair

A call answered on the fourth ring

„This is Maria Nikolova, one of Dr Ivanova’s patients. Can I move my Friday appointment?“

The front desk is busy and does not pick up. The assistant takes the call, confirms it is speaking to the patient with a code by text, and moves the appointment to Wednesday at 10:30.

What the front desk finds

A moved appointment, a freed slot on Friday and nothing left to finish when the patient in the chair leaves.

14:00

the day after an implant

The call the dentist otherwise has no time to make

„Hello, I am calling from Dr Georgiev’s clinic. Are you in any pain today? Is there any swelling?“

The assistant asks only the questions the dentist set in advance, and records the answers. It gives no advice. If an answer is worrying, it directs the patient to the clinic.

What the dentist finds

An email with the answers right after the call, and every patient’s results on one board.

Your rules, not generic settings

The concern we hear most often from dentists: "Our practice is too complex, a machine will not cope." So the assistant does not teach itself and does not improvise. It works to rules you have written, and anything outside them goes to a person.

An extract from one practice’s rules

Written together with you before launch. Changed whenever you say so.

  1. 1.Prosthetics (crowns, bridges, veneers): only after a consultation. Dr Georgiev takes consultations on Tuesdays and Thursdays.
  2. 2.New patients: a check-up first, 30 minutes. Not booked straight into treatment.
  3. 3.Scale and polish: 40 minutes, with the hygienist. Not on Friday after 15:00.
  4. 4.Children under 12: only with Dr Ivanova.
  5. 5.Wednesday afternoon is blocked for surgery. No appointments offered.
  6. 6.Pain, swelling or bleeding: no appointment booked. Passed to the on-call number, and out of hours a note is left.

One call through those rules

  1. PatientI want a crown, when can you do it?
  2. RuleProsthetics only after a consultation → consultation with Dr Georgiev, Tue/Thu.
  3. AssistantOffers Tuesday 11:00 or Thursday 16:30, books the chosen slot.
  4. Outside the rulesHad the patient said "and it hurts badly", the call would have gone to the on-call number, not into the calendar.

The rules are written with you before launch, checked with test calls and corrected until the assistant answers the way your front desk would. When something in your practice changes, we change the rule.

Your receptionist stays first

Nobody wants a machine talking to their patients all day instead of the person who knows them by name. So the assistant can work as a backup: the phone rings at the front desk as always, and it only steps in when nobody picks up. You choose the mode and can switch it at any time.

Backup

The front desk answers first. The assistant steps in after a few rings, out of hours and when the line is busy.

Around the clock

The assistant answers every call, and passes complex or urgent cases to someone on the team.

Works with what you already use

The last thing your clinic needs is another system to maintain. The assistant reads and writes in the calendar your team already works with.

Google Calendar and Cal.com

Free slots are read in real time, booked ones appear straight away.

Godento

Booking, availability and notes following your process in Godento, once you give us access.

Text to the patient

A confirmation code for an existing appointment, and an invitation to call back if the call drops.

Email to the team

A summary after every call, and the result of every follow-up call.

What the assistant never does

It does not diagnose or advise

With pain, swelling or an unclear case it offers no answer, it passes the call to someone on the team or leaves a note. On calls after a procedure it only collects answers; if they are worrying, it directs the patient to the clinic or to emergency services. This rule cannot be switched off.

It does not book outside your rules

It does not invent an appointment, a dentist or a duration. If the case is not described in your rules, the call goes to a person.

It does not promise a price you have not set

It quotes only the prices and terms you approved. For anything else it directs the patient to a consultation.

It does not touch someone else’s appointment

Before reading or changing an existing appointment, it confirms it is speaking to the patient with a code texted to the number they are calling from.

It keeps nothing longer than you do

Patients’ answers are deleted on your retention schedule. Only the aggregate numbers remain for reporting.

Innovation that speaks for itself

Questions clinics ask

Can the AI book patients with a specific dentist?

Yes. It knows which dentists work when, and books patients with the right one for the treatment.

What happens in an emergency?

The assistant recognises words signalling pain or urgency and immediately passes the call to the on-call dentist or your escalation contact.

What does an AI receptionist for a dental clinic cost?

From 85 euros a month on the standard plan (Lite). A clinic with 200+ patient calls usually chooses the Start plan (219 euros a month).

Which language does the AI speak with patients?

Bulgarian by default. It switches to English, Russian or another language if the patient replies in one.

Should the AI replace our receptionist?

No. For many dental clinics the best fit is for the AI to answer only when no person can: a receptionist off sick, a busy assistant, or a patient in the chair.

Can the AI agent work with Godento?

Yes. We can set up a compatible process in Godento for checking availability, booking and notes, once the clinic provides suitable access and working rules.

Will the AI diagnose patients?

No. It does not diagnose and gives no medical opinion. It gathers information, directs the patient to the right specialist, and in an unclear or urgent case calls a person or leaves a note for a call back.

Can the AI call patients after a procedure?

Yes. You set how many hours afterwards and in which time window it calls, which procedures it follows up (by the word "implant" in the calendar, for example) and which questions it asks. It gives no medical advice and directs the patient back to you on any worrying answer. Part of the feedback package.

How does the AI know it is speaking to the right patient before cancelling?

Before reading or changing an existing appointment it texts a one-time code to the number the patient is calling from, and continues once confirmed. You can also choose a mode where existing appointments are only handled by the team.

What if a patient hangs up before the AI can help?

The patient gets a single text inviting them to call back. No chat and no follow-up messages, just one chance not to lose the call.
